Terms on Cancellations, Changes & Refunds

At SKYRIM Travel, we offer both package travel arrangements and customized travel services. This policy explains how cancellations, booking changes, refunds, planning fees, and supplier-related costs are handled. It is intended to apply alongside our booking terms, itinerary confirmation, and any service-specific terms provided at the time of booking.

This policy is subject to applicable mandatory consumer protection laws, including applicable laws of Greece and the European Union. Where mandatory law gives the traveler stronger rights, that law will prevail. Package travel rules in the EU apply to qualifying package arrangements, including certain custom-combined trips sold by one trader.

1. Scope of Services

SKYRIM Travel may provide one or more of the following:

1.1 Package Travel Arrangements
Travel services combined and sold as a package for one total price, or otherwise qualifying as a package under applicable law.

1.2 Customized / Tailor-Made Travel Services
Bespoke trip planning, itinerary design, travel consultation, supplier sourcing, route planning, and custom coordination requested by the traveler.

1.3 Stand-Alone Travel Services
Single services such as hotel bookings, transfers, guided tours, cruises, ferry tickets, attraction tickets, cultural events, restaurant reservations, and similar services.

Different cancellation and refund rules may apply depending on the type of booking.

2. Booking Confirmation

A booking is confirmed only when:

  • the required deposit, planning fee, or full payment has been received; and
  • SKYRIM Travel has issued written confirmation.

Before written confirmation, prices, availability, schedules, and supplier terms remain subject to change.

3. Planning / Design Fees for Customized Travel

For customized or tailor-made travel requests, SKYRIM Travel may charge a separate planning fee, consultation fee, or itinerary design fee before final booking.

This fee may cover:

  • destination research,
  • itinerary design,
  • supplier sourcing and quotation requests,
  • route planning,
  • travel consultation,
  • administrative coordination,
  • revisions and communication time.

Unless otherwise stated in writing, once SKYRIM Travel has started work on a customized request, the planning / design fee becomes earned and is non-refundable.

Where expressly stated in writing, all or part of the planning fee may be credited toward the final confirmed booking price.

4. Deposits and Final Payment

A deposit may be required to secure a booking. The remaining balance must be paid by the due date stated in the booking confirmation, invoice, or service agreement.

If payment is not made on time, SKYRIM Travel may cancel the booking and retain or charge any amounts already lawfully incurred, including non-recoverable supplier costs, ticketing charges, and planning fees.

5. Cancellation by the Traveler – Package Travel

For package travel arrangements, the traveler may cancel before the start of the package by giving written notice.

If the traveler cancels, SKYRIM Travel may apply a cancellation charge only to the extent permitted by applicable law. Any such charge must be appropriate and justifiable, taking into account:

  • the timing of cancellation,
  • expected cost savings,
  • the possibility of reselling or reusing the services,
  • and any amounts that remain payable or non-recoverable.

Where standard cancellation charges are stated at booking, they apply only insofar as they are lawful, reasonable, and justifiable.

Upon request, SKYRIM Travel will provide a reasonable explanation of the cancellation charges applied to package travel bookings where required by law. EU package travel rules require these charges to be appropriate and justifiable rather than purely punitive.

6. Cancellation by the Traveler – Customized / Tailor-Made Travel

For customized or tailor-made travel services, cancellation may result in deductions for:

  • non-refundable planning or design fees,
  • consultation and administrative time already spent,
  • supplier coordination work already performed,
  • reservation, ticketing, permit, or admission costs already committed,
  • hotel, transport, cruise, guide, or event costs that are non-recoverable,
  • any other actual costs already incurred on the traveler’s instructions.

Any refundable balance, if any, will be returned after deduction of lawful and documented costs already incurred.

7. Cancellation by the Traveler – Stand-Alone Services

For stand-alone bookings, refunds depend on:

  • the relevant supplier’s terms,
  • whether the service has already been booked or issued,
  • whether amounts paid are recoverable,
  • and any disclosed administrative costs lawfully applicable.

Certain services may be non-refundable or only partially refundable, including but not limited to:

  • airline tickets,
  • ferry tickets,
  • cruise fares,
  • attraction or event tickets,
  • special-rate hotel reservations,
  • timed-entry reservations,
  • private transport bookings.

8. Unavoidable and Extraordinary Circumstances

For package travel arrangements, the traveler may terminate the contract before the start of the package without paying a cancellation fee where unavoidable and extraordinary circumstances occur at the destination or its immediate vicinity, and those circumstances significantly affect the performance of the package or the carriage of passengers to the destination.

In such cases, the traveler is entitled to a full refund of payments made for the package, but not additional compensation unless otherwise required by law. Under EU package travel rules, this is a core traveler right.

9. Cancellation by SKYRIM Travel

SKYRIM Travel may cancel a booking before departure where permitted by law, including where:

  • the minimum number of participants stated in the contract is not reached,
  • performance becomes impossible due to unavoidable and extraordinary circumstances,
  • a supplier failure, transport disruption, safety issue, or government restriction prevents performance,
  • or the traveler fails to make payment when due.

If SKYRIM Travel cancels a package travel arrangement and a refund is due under applicable law, the refund will be made without undue delay and generally within the legally required period. EU package travel rules generally require refund within 14 days after lawful termination.

10. Refund Method and Timing

Where a refund is due:

  • it will be processed without undue delay;
  • for package travel contracts, refunds will generally be processed within 14 days where required by law;
  • refunds will normally be made to the original payment method unless otherwise agreed in writing.

Only lawful and properly disclosed deductions may be made, including documented non-recoverable supplier costs and reasonable cancellation charges where applicable.

11. Changes Requested by the Traveler

Any request to change dates, destinations, passenger names, accommodation, room categories, vehicles, guides, activities, tickets, cruise elements, or itinerary details must be made in writing and is subject to:

  • availability,
  • supplier approval,
  • fare or rate differences,
  • any additional transport, accommodation, or ticketing cost,
  • and any lawful amendment or administrative fee.

For package travel, any significant change to essential terms will be handled in accordance with applicable law.

12. No-Show and Unused Services

No refund is due for:

  • no-shows,
  • missed departures caused by the traveler,
  • late arrivals,
  • early departures,
  • or any unused services after travel has commenced,

unless otherwise required by law or expressly agreed in writing.

13. Travel Documents and Traveler Responsibility

The traveler is responsible for ensuring that passports, visas, residence permits, travel insurance, health documents, parental consents, and any other required documents are valid and available.

No refund is normally due where the traveler is unable to travel because of missing, invalid, expired, or incorrect travel documents, unless mandatory law provides otherwise.

14. Third-Party Suppliers

Many services included in a trip are provided by independent third-party suppliers, including hotels, airlines, ferry companies, cruise operators, transport providers, guides, venues, and attractions. Their own operating conditions may affect cancellation, access, schedules, timing, and refundability.

Where SKYRIM Travel acts as organizer of a package, SKYRIM Travel remains responsible to the extent required by applicable law. Where SKYRIM Travel acts only as an intermediary for a stand-alone service, the supplier’s own terms may also apply.

15. Profit Margin and Cancellation Charges

SKYRIM Travel’s commercial margin may be limited. However, any cancellation charge applied to a package travel booking will not be based solely on profit margin. It will be based on lawful, reasonable, and demonstrable factors, including actual losses, non-recoverable supplier costs, work already performed, expected savings, and any possibility of resale or reuse of services.

16. Governing Law and Mandatory Rights

This policy is governed by applicable Greek law and relevant mandatory European Union consumer protection rules. Nothing in this policy excludes or limits any rights that cannot lawfully be excluded or limited.

17. Cancellation by the Traveler – Package Travel

For package travel arrangements, the traveler may terminate the contract at any time before the start of the trip by giving written notice.

If the traveler cancels, SKYRIM Travel may charge an appropriate and justifiable cancellation fee, taking into account:

  • the date of cancellation,
  • expected savings in costs,
  • any revenue recovered from re-selling the travel services, and
  • any amounts that remain payable or non-recoverable to third-party suppliers.

Where standard cancellation scales are stated at the time of booking, they apply only to the extent permitted by applicable law and only insofar as they reflect reasonable and justifiable cancellation costs.
